Job Summary:
The Executive Administrator will act as the Gatekeeper for the CEO and provide comprehensive administrative support in helping him lead the Company. You will have your finger on the pulse of the Company’s business in order to anticipate needs, create and maintain internal and external relationships and demonstrate excellent verbal and communication skills. You will take initiative and stay on top of multiple projects and manage the moving parts. You will live the Values of the Company, build the brand, maintain professionalism and confidentiality at all times and become a valued member of the Sanderson Wealth Management Team.
Job Duties:
Provide sophisticated calendar management for CEO. Prioritize requests while troubleshooting conflicts; make judgments and recommendations to ensure smooth day-to-day engagements.
- Manage the CEO’s emails, responding as appropriate and tracking follow up.
- Arrange and handle all logistics for meetings and events: schedule meetings; draft agendas; develop, compile, and distribute presentation materials; and record meeting minutes as appropriate.
- Complete a broad variety of administrative tasks that facilitate the CEO’s ability to effectively lead the organization, including: assisting with special projects; designing and producing complex documents, reports, and presentations; collecting and preparing information for meetings with staff and outside parties; composing and preparing correspondence; maintaining contact lists; making travel arrangements; and completing expense and mileage reports.
- Serve as the primary point of contact for internal and external constituencies on all matters pertaining to the CEO, including those of a highly confidential or critical nature. Prioritize and determine appropriate course of action, referral, or response, exercising judgment to reflect CEO’s style and organization policy.
- Work closely with the CEO to keep him well informed of upcoming commitments and responsibilities, following up appropriately. Act as a "barometer," having a sense for the issues taking place and keeping the CEO updated. Anticipate CEO’s needs in advance of meetings, etc.
- Maintain open communications with the Sanderson team, including attending weekly Level 10 meetings.
- Provide "gatekeeper" and "gateway" role, providing a bridge for smooth communication between the CEO and staff; maintain credibility, trust, and support with the Executive Team.
- Coordinate the CEO’s outreach activities. Follow up on contacts made by the CEO to cultivate ongoing relationships.
- Evaluate and assist in developing office policies and procedures for improved workflow and anticipate future needs as organization grows.
- Other projects/duties as assigned for the overall benefit of the organization.
QUALIFICATIONS/EXPERIENCE
- Experience. You have 5-10 years business experience, interacting with high level professionals
- Education. You have a Bachelor’s degree, preferably in business administration. MBA a plus.• Technical kills. You have strong MS Office Suite skills and database management experience. You love tech and learn new platforms for fun.
- Great communicator. You have excellent oral and written communication. You effectively communicate and coordinate effectively at every level. You are able to maintain a high level of integrity and discretion in handling confidential information.
- Strong project manager. You are exceptionally skilled at juggling multiple tasks and managing timelines. You manage a task from start to finish and keep everyone appropriately informed.
- Problem solver. You like to solve a variety of problems – no task is too big or too small. You think ahead, consider all the variables, and anticipate challenges.
- Detail oriented. You are meticulously attentive to details, get it right the first time, and accurately
- Autonomous. Although we stay in close communication with each other, we don’t micromanage. We trust you to do your job well without much supervision, but to know when to seek guidance.
